The Fairtrade steering group is made up of representatives from the Guild and University, both students and staff. The constitution and minutes of meetings can be read below.
Fairtrade Steering Group Constitution
1 Constitution and purpose
1.1 The University, under the direction of the Pro-Vice Chancellor (Human Resources and Estates), established a Fairtrade Steering Group (FSG).
1.2 The Term of Reference for this Group out lined below are defined by the Pro-vice Chancellor, Estates and the Guild of Students Executive Committee and may be amended by the either of these at any time.
2 Remit
2.1 The Guild of Students will take responsibility of the lead partner.
2.2 FSC will be responsible for ensuring the annual Fairtrade Foundation status renewal is completed as required and that this accreditation is reflected on the Foundation's website.
2.3 Review annually the environmental policies of the University and Guild to ensure relevant Fairtrade Foundation requirements are met.
2.4 Arrange promotional events throughout the academic year. Ensure that these events are widely publicised on campus and within the local community.
2.5 Group representatives to sit on the Aberystwyth Fairtrade Group. University to be represented by Hospitality General Manager and Guild to be represented by Sustainability and Ethics Officer.
2.6 Group to be represented on the Ceredigion Fairtrade Group by Hospitality General Manager
3 Membership
3.1 The FSC shall comprise the following:
3.1.1 Guild President (Chair)
3.1.2 Guild Sustainability & Ethics Officer
3.1.3 Guild General Manager
3.1.4 Hospitality General Manager, RHS
3.1.5 Arts Centre Representative
3.1.6 Guild Shop Manager
3.1.7 Guild Communications Coordinator
3.1.8 People and Planet representative
3.2 The Group may appoint further members who in their view would bring relevant experience and advice.
4 Quorum
4.1 Quorum shall be four members
5 Frequency
5.1 The Group will meet at least four times a year.
5.1.1 September: Freshers planning and review of policies
5.1.2 November: Review of Freshers and Fairtrade fortnight planning
5.1.3 January: Fairtrade fortnight planning
5.1.4 May: Annual Fairtrade Foundation submission
6 Minutes
6.1 All meetings will be minuted
6.2 Minutes will be published on the Guild’s website
6.3 Copies of minutes to be forwarded to Pro-Vice Chancellor (Human Resources and Estates) following each meeting.
6.4 Copies of minutes to be forwarded to the University’s Health, Safety and Environmental Advisor following each meeting for ISO 14001 recording.
